Cancellation & Credit Policy

1) Payment Structure

– Payment 1: (Reservation Fee): due at enrollment. Non-refundable, not convertible to credit.

– Payment 2: due 30 days after Payment 1 (or as stated on the invoice).

– Payment 3: (Final Payment): due 30 days after Payment 2 or 90 days prior to departure (whichever occurs first).

2) Client Cancellations

The effective cancellation date is the timestamp of the written notice sent by email to billing@onsportsusa.org.

Credits are calculated on amounts actually paid, less any non-recoverable supplier costs already incurred (e.g., fields, referees, buses, hotels, tickets, tournament fees) and any payment processor fees not returned by the processor.

– Payment 1 (Reservation Fee) — Non-refundable and not convertible to credit.

– Payment 2 — 100% credit if cancellation is requested before the Payment 3 due date. After the Payment 3 due date, no credit on Payment 2.

– Payment 3 — 100% credit if cancellation is requested 90 days or more before departure. If less than 90 days, no credit on Payment 3.

– No-show / early departure — No credit.

3) Credit Terms:

Validity: 18 months from the original departure date.

Usage: applicable to any ON SPORTS program (subject to availability).

Transferability: may be transferred to an immediate family member or a teammate within the same club/team.

Credits are not redeemable for cash and may not be combined with other offers unless stated in writing.

4) Traveler Substitution:

Allowed up to 45 days before departure at no charge, provided no named/nominal tickets or services have been issued.

From 44 to 15 days before departure: administrative fee of US$50–100 plus any cost difference charged by suppliers.

Less than 15 days: subject to supplier acceptance and any additional costs.

5) Changes and Force Majeure

If ON SPORTS must reschedule due to force majeure or external causes (including but not limited to natural events, strikes, facility closures, government actions, travel/visa restrictions, epidemics/pandemics), the primary options are:

Reschedule the program.

Issue a 100% credit of payments received, net of non-recoverable supplier costs already incurred.

If ON SPORTS cancels for operational reasons not related to force majeure, the client may choose either a 100% refund of payments received or a 110% credit to rebook.

6) Procedure:

All cancellations or change requests must be submitted in writing to billing@onsportsusa.org.

Credits are issued within 10–15 business days after confirmation of the cancellation request.

The effective date/time will be the receipt timestamp of the email in the Miami, FL time zone.

7) Non-Recoverable Supplier Costs & Payment Processor Fees:

Examples of non-recoverable costs include field rentals, referees, buses/charters, hotels, tickets, insurance, tournament fees, vendor cancellation penalties, and adverse exchange-rate differences. These amounts will be netted out from any credit if already committed.

Some payment processor fees (e.g., Stripe card processing fees) are not returned by the processor; such amounts cannot be credited back.

8) Travel Insurance:

ON SPORTS strongly recommends (and may require) travel insurance that includes cancellation for specified reasons, medical coverage abroad, and baggage coverage. ON SPORTS will provide supporting documentation as reasonably required by the insurer; any reimbursements are handled directly with the insurer.

9) Minimum Group Size:

Programs may require a minimum traveling roster. If the minimum is not met, ON SPORTS may: (a) offer a price adjustment and/or merge with another group, or (b) cancel and issue a 100% refund of payments received.

10) Currency and Exchange Rates:

Amounts are settled in USD unless otherwise agreed. Bank charges and foreign exchange differences are the responsibility of the client.

11) Governing Law and Jurisdiction

This policy is governed by the laws of the State of Florida, USA, together with any mandatory consumer-protection rules applicable in the client’s place of residence. Exclusive jurisdiction: Miami-Dade County, Florida.
